Repair Terms

At AIOI Systems, the repair terms are established as follows.

Article 1 (Scope of Application)

These terms and conditions apply to repairs (hereinafter referred to as "repair activity ") that AIOI Systems Co., Ltd.(hereinafter referred to as "our company") accepts from users of our Product (hereinafter referred to as "customers").
We will provide services to our customers in accordance with these terms and conditions, so please agree to them before using our services.

Article 2 (Items Eligible for Repair and Items Not Repairable)

1. We will repair the following Product:

  • Products manufactured and sold by the Company.

  • Other manufacturers’ products on which the Company’s part number is registered (specific conditions to be separately prescribed by the Company).

2. We cannot accept repairs in any of the following cases:

  • If supply of replacement parts has been discontinued.

  • If technical measures required for repair are infeasible or cannot be performed.

  • If the product has significant deterioration or damage due to aging (including cases as determined by the Company).

3. In principle, the repair period for our Product will be within seven years from the end of sales of the Product. Please note that we cannot provide repair or other maintenance services for Product beyond this period.
Please note that if an unforeseen event occurs, such as the manufacturer discontinuing parts supply, we may not be able to accept repairs even within the aforementioned period.

Article 3 (Free Repairs and Paid Repairs)

When we receive a repair request from a customer, we will repair the requested device (hereinafter referred to as the "covered device") free of charge or for a fee depending on the conditions of the device.
Regardless of whether the shipping fee is free or paid, the shipping costs for the target device will be as follows:

  1. Shipping cost when the customer ships the subject equipment to the Company for repair: borne by the customer.

  2. Shipping cost when we return the subject equipment to the customer after repair: borne by the Company.

1. Free repair (warranty repair)

Any malfunctions that occur within the warranty period from the date of purchase under normal usage conditions as defined by our company will be repaired free of charge.
However, the following cases are not eligible for free repairs:

  1. Failures or damage resulting from improper handling by the customer, such as drops or impacts during transportation or movement after purchase.

  2. Failures or damage caused by handling that violates the product's handling instructions or precautions described in the product or its user manual.

  3. Failures or damage caused by fire, earthquake, lightning, other natural disasters, industrial pollution, salt damage, or abnormal voltage.

  4. Failures or damage caused by non-Company equipment connected to the product, or by inappropriate consumables or storage media.

  5. Failures or damage resulting from repairs or modifications performed by the customer or any third party other than the Company.

  6. Failures or damage to consumable parts with limited lifespans (such as batteries) when the Company determines that the part has reached the end of its life within the warranty period due to the usage environment.

2. Paid repair

If the warranty period has expired, if there is no annual maintenance contract for the equipment with our company, or if the situation does not meet the terms of the maintenance agreement, repairs will be chargeable.

Article 4 (Analysis and Estimate)

1. The equipment we receive will be activity to determine whether it is faulty and whether it can be repaired. In the case of paid repairs, an analysis fee will be charged regardless of whether it is faulty or whether repair activity is required.
As a general rule, if a malfunction is found in our equipment, we will analyze the activity and then move on to repair activity. Once the repair is complete, we will contact you with an estimate.

2. For products from other manufacturers, we will provide a repair estimate after we receive the equipment. With your approval of that estimate, we will proceed with the repair.

3. Even if you decide not to approve the repair based on the estimate or its details, please understand in advance that our analysis work may not be able to restore the equipment to its original condition.

4. If the analysis results in the activity being deemed impossible to repair, or if the customer does not wish to have the device repaired due to the contents of the estimate, etc., we will dispose of the device. If you wish to have the device returned, please be sure to specify this.

Article 5 (Contents of Repair Work)

1. Repair work, whether free of charge or paid, will be carried out by replacing components in units defined by our company as maintenance parts. In such cases, ownership of parts removed during the repair process shall belong to our company.

2. Labels affixed by the customer, and any customer-applied paint, engraving, or similar markings, will generally not be restored to their original condition when exterior parts are replaced during repair work. Please understand this in advance.

Article 6 (Warranty period for repaired products)

1. If, after the repair activity is completed, we determine that the same problem and the same part require further repair, we will carry out the repair again free of charge within 90 days from the date of repair activity completion or until the end of the original warranty period, whichever is later.

2. Notwithstanding the preceding paragraph, the following cases are excluded from the re-repair warranty.

  • When the symptom is the same but the fault location differs during re-repair of the repaired item.

  • If the RP number label attached at the time of the previous repair cannot be confirmed due to peeling or damage

  • If the failure is due to the customer's negligence (including cases determined by our company).

  • If the product has been processed, modified, or otherwise altered by the customer.

  • If the failure or damage is caused by natural disasters or other force majeure events.

3. Notwithstanding paragraph 1, for products of other manufacturers in which our part number is registered, the warranty period after repair shall follow the terms of the manufacturer's warranty.

Article 7 (Storage period for repaired items)

If any of the following conditions apply, regardless of whether the customer's whereabouts are unknown, the customer refuses to accept the device, or any other reason, the customer will be deemed to have relinquished ownership of the device after 180 days of storage from the date of receipt, and will agree to dispose of the device in the manner specified by our company.
In addition, we may charge you for the costs incurred in storing the data, the costs incurred in disposing of the data, and the costs incurred in repairs or analysis that have already been incurred.

  1. If we have notified you of the repaired item's availability for return but you fail to take receipt of the equipment.

  2. If, after presenting an estimate, you cancel the repair request but still fail to collect the equipment.

  3. If the customer does not respond to the quotation within 30 days of the quotation date

Article 8 (Compensation for damages)

Except for liabilities related to these terms, we shall not be liable for any loss of profit, special damages, damages arising from claims made against you by third parties, or any other liabilities.

Article 9 (Indemnification)

If damage or malfunction occurs due to our negligence, we will, as a rule, repair the damage or malfunction free of charge. If repair is not possible, we will compensate you in an amount equal to the lower of: the depreciated residual value of the equipment, or the price of a currently available equivalent model.

Article 10 (Confidentiality)

We will not disclose or reveal to third parties any business or operational secrets, privacy, or personal information of customers that we learn through repair work. However, in the following cases, we may provide your personal information to third parties without obtaining your prior consent.

  1. When required by law

  2. When necessary for the protection of human life, body, or property, and it is difficult to obtain your consent promptly.
